Development View: Search for an Individual Constituent Record

Overview

This document describes how to search for a constituent in the Donor & Alumni Relationship Tool (DART).

You must have the DART Development View role to perform this task. For more information about roles and security, refer to the DART Training Courses page on the DART Education and Training website.

Step-by-Step Process

  1. Click the Constituents drop-down arrow.
  2. Click Constituent Search.
  3. Enter, Lookup , or select a value from the drop-down list in applicable search fields.
  4. Notes:

    • See Constituent Search - Field Descriptions.
    • Searches are not case-sensitive.
    • Wild card characters can be used to broaden search criteria:
      • Asterisk (*) or percent sign (%) can take the place of a group of characters. For example, if a name ends with “son”, type *son or %son.
      • Question mark (?) or underscore (_) can take the place of an individual character. For example, if a name is Smith or Smyth, type Sm?th or Sm_th.
    • Under the Advanced Search options, deselect Organizations and Groups.

  5. Click Search.
  6. Note: Only the first 150 search results display.

  7. Repeat steps 3 and 4 until desired search result is yielded.
  8. Click the desired individual/organization name in the Results field. See View an Individual Constituent to learn more.
  9. Click Select.

Field locations

Area/Field Description
Name Last/Org/Group name is required; all other fields are optional.
Address Country, Street address, City, State and Zip/Postal Code are optional search fields.
Lookup ID The primary identifier for a constituent, formerly known as EID.
Primary Business The primary business a constituent is affiliated with.
Email Address The constituent’s email address.
Constituency The affiliations a constituent has with UM. For example, a constituent can be an alumnus, a donor, a member and a faculty member.
Degree From The UM School/College/Unit from which the constituent earned his/her degree.
Primary class year Year of graduation from UM.
Phone number The constituent’s phone number.
Prospect manager The name of the prospect manager assigned to the constituent.

Gender The constituent’s gender.
Match all criteria exactly Select this checkbox to use search criteria exactly as entered. If you select this checkbox, wildcard characters do not work.
Show advanced search options Displays advanced search criteria checkboxes.

Field locations

Area/Field Description
Search in

Includes individuals, organizations and groups/households in your search

  • By default, all three are checked
  • You can choose to select one, two or all three
  • Uncheck the Organizations and Groups/Households checkboxes if you are searching for an individual
Check nickname Includes nicknames from the individual constituent record in your search
Check aliases Includes aliases from the constituent record in your search
Check merged constituents Includes constituents merged from a duplicate constituent check
Check alternate lookup IDs Includes other IDs assigned to the constituent, such as Uniqname or UM employee ID
Only search primary addresses Search looks for only the primary addresses from the constituent record
Include deceased Includes constituents marked as deceased in your search
Include inactive Includes constituents marked as inactive in your search
Include fuzzy search on name Includes similar names and alternate name spellings in your search (e.g., a search for “Willams” would retrieve search results of “Willems” and “Williams”)
