Step-by-Step Process
- Enter search criteria.
- Empl ID
- Last Name
- First Name
- Campus ID
- Click Search.
- Click the Name link for the applicable record.
- Review applicable fields:

Empl Rcd# | Identifies the employment record number for an appointment. |
Effective Date | The date on which the additional pay first becomes effective. Typically, this date corresponds with the beginning of a pay period. |
Job Code/ Department |
A six-digit code and description which identifies a unique job code title. Typically referred to as the appointing title. A six-digit code and related description which identifies a department. Here it represents the appointing department. |
Payroll Stat/ Action Rsn |
Payroll Status indicates the pay status of the specified appointment (e.g., active, terminated). Action/Reasons describe the action taken to an employee’s appointment. Actions are used to specify why an employee's appointment or employment information changed. The action reason is entered in two parts: a personnel action, (e.g., pay rate change) and a reason for that action (e.g., promotion). Action/Reasons can control starting and stopping pay and changes in benefit status. |
Std Hrs | The number of hours the employee works in the associated appointment during the course of one week. Temporary appointments have 0 standard hours. Typically 40 standard hours implies the faculty or staff member has a full time appointment. |
FLSA | A code and description that identifies the exemption status according to the Fair Labor Standards Act (FLSA). FLSA regulations govern each position’s eligibility for overtime payment. A status of Non-Exempt (NE) indicates eligibility for overtime payment at time-and-a-half, and that the employee has a bi-weekly pay frequency. A status of Exempt indicates that the employee is paid monthly. |
Comp Rate/ Comp Freq |
Compensation Rate is he base rate pay a faculty or staff member receives for the percent of effort expended. Compensation Frequency describes the compensation rate. This can be bi-weekly, hourly, annual, or contract. |
FTR/ Appt Period |
Full Time Rate refers to the full-time rate. It is the base rate pay if the employee is expending 100% effort or 40 standard hours in their appointment. Appointment Period describes the full-time rate. (e.g., hourly, term, biweekly, Per 12 MO). |
Appt End Date |
An appointment’s expiration date. This will be blank for open-ended appointments. |
Reg/Temp | Whether the job code is a regular or temporary appointing title. |
HR Primary Job Indicator | Indicates a person’s primary or secondary Regular appointment. Primary appointment typically indicates where the employee expends the largest appointment effort as of the job effective date. Temporary appointments always have a job indicator of N (Not applicable). |
Future Rows/ Union Cd |
Future Rows indicates if the employee has a future-dated effective date on Job Data. Y=Future dated row exits. N=No future dated row exists. Union Code indicates the code used to uniquely identify different types of Unions. If blank, no union code is associated with the employee. |

Earn Code | The code used to uniquely identify different types of additional pay (non-base rate pay). |
Eff Date | The date on which the additional pay first becomes effective. Typically, this date corresponds with the beginning of a pay period. |
Earn End Dt | The date on which the additional pay is to end. This date typically corresponds with the last day of the pay period. |
Addl Seq# | (Additional Sequence Number) Within an earnings code, it uniquely identifies an additional pay line that is paid simultaneously with other additional pay lines with different sequence numbers. |
Combo Code | A six-digit number that represents the ChartField combination to which the Earn Amt will be charged. |
Oth Py | The amount of additional pay to be paid per pay period charged to a particular Shortcode. |
